Your Cheapest Leads Are Past Customers: AI Reactivation for Trades

Winston · Head of AI Field Strategy

Ask most trade owners where their next job comes from and they say ads, Google, or referrals. Few say their own customer list, and that is the miss. Customer reactivation for trades is simple: reach out to people who already hired you, at a moment that makes sense for them. They know your name, they have seen your work, and they do not need a long introduction. AI makes it practical for a small office to do this consistently without a marketing department.

It is one of the follow-up systems covered in our practical guide to AI for plumbers, electricians, and HVAC companies, and it is often the lowest-cost one to start.

Why Are Past Customers Your Best Leads?

Because the hard part is already done. A new lead has to find you, check your reviews, and decide to trust a stranger in their home. A past customer has done all that. If the job went well, a short, relevant message is welcome, and if you stay quiet, they will search again the next time and might not remember your name.

We will not put a number on how much repeat work you could be sitting on, because it depends on your list and your trade. Pull your own numbers from your field-service software and see how many customers you have not contacted in a year or more. For many shops that is the whole story.

How Do You Segment a Customer List?

Do not send one message to everyone. A few simple groups make the message relevant:

  • By job type. Water heater installs, furnace tune-ups, panel upgrades, drain clearing. What you did tells you what they may need next.
  • By install anniversary. A one-year or five-year check-in after a system install is natural and useful.
  • By season. Furnace customers in fall, AC customers in spring, plumbing customers before the first freeze. Our year-round marketing calendar for Oregon trades maps these moments.
  • By status. Current maintenance plan members, lapsed members, and one-time customers each need different messages.
  • By last contact. Customers you have not touched in 12 or more months are your reactivation group.

Most field-service tools such as Jobber, Housecall Pro, and ServiceTitan can filter customers this way. An AI assistant can help you design the segments, but keep customer details inside tools your business already controls. Read our guidance on responsible AI use for small businesses before pasting anything into a chatbot.

What Should the Messages Say?

Useful beats salesy. Each message should do one thing: remind, inform, or ask. A few examples that work for most shops:

  • Seasonal check-in: a reminder that fall is a good time to have the furnace looked at, with a simple link or reply option to book.
  • Anniversary note: a friendly message a year after an install asking how everything is running, and offering a check if anything seems off.
  • Maintenance plan invite: for one-time customers, a plain explanation of what your plan includes, with terms set by you. See AI reminders for HVAC maintenance plans.
  • Referral ask: a short note thanking them and saying you grow by word of mouth, if they know a neighbor who needs help.
  • Review ask: if they never reviewed you, a polite request with a direct link. Never offer anything in exchange, and never screen who gets asked. More in getting more five-star reviews after every service call.

AI can draft each of these in your voice in seconds, and vary them so they do not read like a form letter. A person in your office should read and approve each template before it is used, and spot check the real sends.

What About Consent and Opt-Outs?

This matters more than the copy. Email and text marketing both come with rules. Texting in particular involves consent requirements under the TCPA and carrier registration through A2P 10DLC. The rules are specific and change, so check the rules themselves and ask your attorney before you send a batch of marketing texts to a list. Our post on AI text messaging for service businesses goes through the basics.

Whatever channel you use, make opting out easy and honor it right away. If you are unsure whether a customer agreed to be contacted, do not message them until you are.

How Often Is Too Often?

Less than you think. For most shops, a seasonal touch every few months is plenty. A customer who hears from you only when it is useful will keep reading. A customer who hears from you weekly will opt out, and you will lose the relationship you were trying to build.

A Simple First Month

  1. Week 1: export your customer list and pick the one segment that fits the current season.
  2. Week 2: have AI draft two versions of a short message for that segment; edit and approve one.
  3. Week 3: confirm consent status and send to the segment, with a clear way to opt out.
  4. Week 4: note who replied, who booked, and who opted out. Adjust the next message.

Nothing here guarantees a bump in bookings. What it does is put your shop in front of people who already said yes to you once.

If you want this set up so it runs without eating your week, see our plumbers, electricians, or HVAC lead system pages, or contact us to talk through your customer list.
